Booking a Photographer? 5 Questions to Ask & 5 Things to Tell Them

Booking a photographer can be a daunting task, especially if you’ve never done it before. With so many questions to consider and details to discuss, it can be overwhelming to decide where to start.

To make the process easier, I’ve put together a list of five questions to ask your photographer before booking and five things you should tell them. This will help ensure you have all the information you need to make an informed decision and secure the best possible photographer for your project.

What should you ask them?

1) Do you have an example gallery I can look at?

When hiring a photographer, it's important to look at their portfolio before booking. This will help you get an idea of the quality of photos you can expect from them.

Professional photographers will likely have a public portfolio that displays their best work throughout their years of shooting, but this may not show what you can expect from a standard day of shooting with them. As a portfolio is only really the highlights.

Ask to see an example gallery so you can make sure the photographer is able to consistently provide the type of photos you're looking for.

2) What is included in your services?

When hiring a photographer, it is important to make sure you understand what exactly is included in their services. Ask your photographer if they provide digitaal files, prints, canvases, albums or any other items in their fee. Do they have an assistant? How many hours will they be there for? Will they have extra equipment or lighting?

Knowing exactly what is included in the fee helps ensure your expectations are aligned with what your photographer provides. Photos are an investment, so making sure you get exactly what you want is crucial to getting the best out of your experience.

3) Do you have the correct insurance?

When hiring a photographer, it’s important to ensure they have the correct insurance. Not only do most venues require proof of insurance before the day of the shoot, but it also offers additional protection in case something goes wrong.

Request your photographer to provide you with proof of their insurance coverage so you can feel secure that you’re covered in case of any issues.

4) What is your turnaround time?

When considering a photographer for your project, it is important to inquire about their turnaround time. How quickly do they plan to process the images and deliver them to you? This can be an important factor when you are eager to see them or working with a deadline.

Some photographers have a quicker turnaround than others, so make sure to ask before you book. While some photographers may be able to process images and deliver them in a couple of weeks, others may take up to six months. Knowing the turnaround time before you book will help ensure that your project remains on track.

If you are interested in working with a photographer that you know has a slow delivery time, ask if you are able to upgrade to get your images delivered faster.

5) How do you think we can get the best out of our shoot?

When you are discussing your shoot with your photographer, it is important to ask if they have any tips for making the most of your day together. A professional photographer has years of experience in working with people and will be able to provide valuable insight into how to maximize your time together. They may have suggestions on how to pose or ways to bring out your personality in photographs. Asking them what they recommend can be an invaluable tool in achieving amazing results.

Additionally, they may have props that can add to the production value of your photos. Make sure to ask what they have available and how it could benefit the shoot. By engaging your photographer and discussing the possibilities beforehand, you can ensure that your shoot goes off without a hitch and that you get the best results possible.

What should you tell them?

Whilst questions are important, so is providing your photographer with the essential information for the day.

When booking a photographer for your project, it’s important to ask the right questions to make sure you have the best experience.

However, questions aren’t the only thing that is needed to ensure a successful shoot. It’s also important to provide your photographer with the necessary information they need. By being clear with your needs and expectations, you can ensure a smooth and successful shoot.

1) Tell them where and when you want to shoot.

When booking a photographer, it is important to provide them with clear details about the location and timing of your shoot. Let the photographer know where you want to shoot, including any specific spots you have in mind. You should also inform them of what time you expect the shoot to take place, as well as how long you anticipate the session to last.

Additionally, make sure that the photographer is aware of any potential travel or parking costs they may incur on the day. Providing them with all this information, it will help ensure that they arrive prepared and ready to capture the perfect photos.

2) Tell them what your expectations are.

When it comes to booking a photographer, it is important to communicate your expectations. This will help ensure that the day runs smoothly and that the result is exactly what you envisioned.

When telling your photographer what your expectations are, consider the following:

• Are you expecting a full team of photographers?

• Do you have any expectations regarding what they should wear on the day?

• Would you like them to get a large range of photos, or focus on particular details?

• Are you expecting them to use flash lighting?

• Do you want them to provide same-day delivery or prints of the photos?

By taking the time to communicate your expectations to your photographer, you can help ensure that your day goes as planned and that the end result is something you are truly proud of.

3) Tell them if you have any concerns about working with a professional photographer.

When it comes to booking a professional photographer, it's important to feel comfortable and confident about the services they provide.

If you have any concerns about working with a profesional photographer, now is the time to ask.

For example, you may be concerned about their level of experience or whether they will show up on the day.

You may also want to ask if they use a contract, which provides security to both parties. Be sure to discuss any potential issues you have so you can feel confident in your decision to book them.

4) Tell them about any specific shots you aim to get.

When it comes to getting the most out of your photo shoot, it is important to let your photographer know exactly what you are looking for. Before you book, let them know what kind of shots you are hoping to get from the session. Be specific and give as much detail as possible so that your photographer can create images that reflect your vision.

Are you looking for a specific pose, angle or background?

Do you want them to focus on certain details or take a particular approach?

Letting your photographer know in advance will ensure they have time to prepare and get the right results.

5) Tell them about any potential issues they may not be expecting.

It’s important that you communicate any potential issues that may arise. If the location you’ve chosen has certain restrictions, like parking or access issues, make sure your photographer is aware.

If there will be large crowds, let your photographer know so that they can plan accordingly. If you’re working with a lot of children or pets, also let your photographer know so that they can plan for any potential issues.

It is also important to tell your photographer about any specific requirements you may have for the shoot. If you’re taking group photos, for example, make sure to let them know the size and number of people in the group so that they can plan the setup accordingly. If you need extra lighting or props, make sure to let your photographer know in advance. Knowing what to expect can help your photographer come prepared and make sure the shoot goes smoothly.
